Relay
Lead follow-up for small businesses that quote work, running on a computer in their own office.
Who it’s for
Insurance agencies, contractors, fabricators and other service businesses that quote work.
The problem
A small business that quotes work enters quotes into a spreadsheet all day. Each of those people should hear back that evening, and asking “did the quote come through?” by hand is the job that slips.
Relay makes sure every one of them hears back, keeps a newsletter going on the owner’s approval, records every message, and never contacts anyone who opted out.
What it does
- Leads
- Paste rows from Excel, import a file, or link a Google Sheet. Re-imports update, never duplicate. Phones, emails and names are cleaned on the way in, and every fix is shown.
- Evening follow-up
- One email per new quote, inside the send window, in the business’s own words. Plain code decides whether anything sends; AI only ever shapes what it says.
- Your own mailbox
- Sends from the business’s own Outlook or Gmail. Test mode restricts real sends to an allowlist.
- Newsletter
- Topic ideas by season, a first draft, edit, approve by name, and send under the daily cap with unsubscribe handled.
- Replies picked up by themselves
- Relay reads replies from the business’s Gmail mailbox as they arrive, and from Outlook once the owner allows it. When a customer writes back, Relay stops following up and puts the reply first.
- Replies and opt-outs
- Opt-out rules run first and are permanent; the model only labels what’s left.
- Conversations
- Every email, text and reply with one person in one place, with each automatic step Relay will take next and why.
- Reports
- Quotes, follow-ups, replies, opt-outs, sold and lost by month, quoter, line and city, plus a “call these today” list. CSV and print.
- Reviews and referrals
- Mark a quote sold and Relay asks how it went a few days later, sends happy customers the review link, brings the unhappy ones straight to you, and asks for a referral a month on.
- Texting
- Consent first: a permission text, a YES reply, then the follow-up. STOP always wins. Sends through the business’s own Twilio number.
- Compliance built in
- Mailing address and opt-out in every email, quiet hours, a daily cap, no double-sends, spam-signal checks on templates and a full ledger of what was sent.
- Your own website
- A simple site with Privacy, SMS terms and Unsubscribe pages, on the business’s own account: the pages carriers ask for, and the public end of every unsubscribe link.

How it runs
Relay installs on the business’s own Mac. Leads, messages and replies stay in files on that computer: no hosting, no monthly fee, no data at the vendor.
A local AI model (through Ollama) classifies notes, drafts newsletters and labels replies. Everything it produces passes fixed checks and has a plain fallback, so Relay works without it.
It starts at boot, restarts itself on failure, sends a nightly digest, and installs and updates with one command.
